Job Description:
This candidate will report to a small team of three, with support from outsourced employees. The Recordkeeping team processes participant transactions, ensures funds are properly allocated and handles ticketing while meeting Service Level Agreements (SLAs) for both internal and client requirements.
While collaborating with Plan Administrators, the Recordkeeping team operates independently. The book of business is TBD, and the role focuses strictly on recordkeeping duties, as plan administration and client experience are managed by separate teams. The team seeks someone with solid experience in recordkeeping, distinct from other departmental responsibilities.
Essential Duties and Responsibilities:
- Support daily operations for both defined contribution and defined benefit plans, ensuring accurate processing and balancing.
- Provide customer support through phone, email, and chat, addressing inquiries from sponsors, partners, and participants.
- Handle daily trading, reconciliation of trust accounts, and contributions. Collaborate with Plan Administrators and clients to calculate and allocate contributions accurately.
- Process payroll contribution files and conduct census analysis to determine participant eligibility and vesting.
- Review, approve, and process participant distributions and loans.
- Lead payroll training for new clients, working with payroll vendors and the tech team to streamline payroll contribution processes.
- Set up plans in Recordkeeping systems, including enrollment, contribution, and investment allocation for participants.
- Review plan documents and implement retirement plan provisions in Recordkeeping systems.
- Create online accounts for customers, upload documents, provide account login details, and monitor account usage.
- Handle monthly and quarterly fee processing, invoicing, and asset sweeps.
- Review and implement fund changes, ensuring proper communication with sponsors, advisors, and participants.
- Assist with plan conversions, deconversions, and mergers/acquisitions.
- Support business owners and employees, offering ongoing assistance and fostering efficiencies through new processes.
- Coordinate and collaborate with teams servicing a book of retirement plans, researching and deploying Recordkeeping enhancements.
Experience and Certifications Required:
- ASPPA Retirement Plan credentialled preferred (ex. RPF, QKA, QPA).
- 2-3 Years of daily recordkeeping experience of 401(k) plans.
- 2-3 years experience in carrying out transactions involved in trading, contribution processing, and distribution processing (actually doing the transactions rather than overseeing, managing, or auditing them).
- 2-3 Years of experience with Schwab Retirement Technologies (SRT) or similar platforms (Relius or Omni are similar).
- In addition to the specific Recordkeeping experience, we are also hoping to find candidates who have been recently employed in the retirement industry (within the 1 year) due to the fast-paced nature of the industry’s standards, regulations, and practices.
Skills Required:
- Superb communication skills and a commitment to superior customer service.
- Excellent attention to detail and accuracy, proficient with numbers and basic calculations.
- Solutions-oriented and able to handle changing and competing responsibilities.
- Strong command of technology including QuickBooks, and ability to learn new software solutions easily and quickly.
- Proficiency is required in Excel, Word, Outlook, Adobe Acrobat.
Physical Requirements:
- Regularly required to talk and hear.
- Frequently required to sit, use hands, and reach with arms.
- Occasionally lift and/or move up to 10 pounds.
- Specific vision abilities are required, including close, distance, peripheral vision, depth perception, and focus adjustment.
- The work environment is mostly indoor with minimal exposure to outside elements.
- Occasionally move about a home office environment to access file cabinets, office machinery, etc.
- Constantly operates a computer and office productivity machinery (e.g., printer).
